Relay For Life: What You Need To Know

Rachel’s Rally/Relay For Life is Friday, May 11 at Carroll High School.
More than 5,000 people are expected on the grounds of Carroll High School as Carroll ISD, the American Cancer Society and the Southlake Community raise awareness and funds to fight cancer. Rachel’s Rally will kick off at 6 p.m., followed by Relay opening ceremonies at 7 p.m. The event will conclude at 7 a.m. on Saturday morning. Hungry at Relay?
We have an exciting line-up of food vendors who will have yummy treats and family favorites for sale in the parking lot area south of the tennis courts, near the game and activity booths. The vendors include McAlister’s, Chick-fil-A, Qdoba, Smoothie King, The BBQ Pit, Nothing Bundt Cakes, Coca-Cola, Dippin Dots, Tasti D-lite, le Popcorn, Lemons/Peppermint sticks and Flava Flavor, which includes Sno-cones, Tornado Twist Fries, Bacon & Cheese fries, Deep fried pickles, Bacon Poppers, Hot wings, Funnel cakes, Foot Long Corndogs, Nacho’s and Cotton Candy. PLUS a number of vendors will be selling breakfast items, too. You can also purchase Starbucks pastries and coffee in the concession stand south of the football field. Relay participants will also be treated to free pizza at midnight and a pancake breakfast by the Kiwanis Club at 5 a.m.

Rachel’s Rally is an hour-long celebration to recognize students in grades K-12 who have shown kindness and compassion as part of the Rachel’s Challenge curriculum and program in all Carroll ISD schools. As their year-end celebration, our students decided three years ago to pick the Relay For Life American Cancer Society fundraiser as their culminating event. Rachel’s Rally kicks off the all-night fundraiser that was started in the Southlake community by our own Dragon students. What Is Relay For Life?
Relay For Life is a fun-filled, overnight event that offers everyone an opportunity to participate in the fight against cancer. Teams of family members, friends, coworkers and others join together each year to raise funds for the American Cancer Society and make a difference in their community. In honor of those who battle cancer 24 hours a day, team members typically take turns walking the track throughout the night for 12 hours. For those not walking, there is around the clock action and fun to keep everyone busy. From entertainment, food and games to ceremonies and stories of inspiration, there is something for everyone at Relay For Life, Southlake.

We reached our goal of 2011 participants at 2011′s Relay For Life, Southlake event and we would like to surpass that for this year’s event. Relay For Life was first organized by students who were members of the Friends of Rachel Clubs in CISD schools. There will be a lot of on-site games, food and fun, so be sure to bring cash/checkbooks with you to Carroll High. A cash ATM machine will be located just outside the Relay Bank doors on the campus of Carroll High School (near art classroom).

Are you a cancer survivor or the caregiver of a cancer patient? Then we want to invite you to a special event hosted by Carroll ISD and the American Cancer Society. Raising Your First $75 for Relay Is Easy!
There are many ways to raise your individual $100 commitment to participate in Relay For Life, Southlake. One of the easiest things our students (and adults) can do is to show that The Power of Change Begins With Me!
- Use an empty, clean Powerade bottle (20 oz.)
- Begin to save your spare change – using any combination of silver coins only!
- Take your full Powerade bottle to First Financial Bank located at White’s Chapel/Southlake Blvd. and they will give you cash for your coins;
- This should help you raise $75 toward your minimum goal of $100. It’s that easy!
- Carroll High School Tuesdays and Thursdays, 11:30 a..m – 1:30 p.m.

Teens Require Parental Permission For Overnight Stay
Students wishing to stay all night at this fundraising event will be required to have a signed parental permission slip and an official wristband to stay past midnight. Permission forms are available at the CISD Administration building. Copies of all forms are also available on the RelayForLife.org/southlaketx website. Wristbands for overnight participation will be provided to all Team Captains on Bank Day.
Parking Passes Limited
Because such a large crowd is expected at Rachel’s Challenge/Relay for Life, there will only be a limited number of on-site parking passes available. Parking restrictions and permit requirements will begin at 4:00 p.m. and entrance will require a parking permit. Survivors, sponsors and various event planners will be issued on-site CHS parking passes. Handicapped spaces will also be available on-site. Team Captains will be assigned one parking pass per 15 team members in the Red Lot at Durham Intermediate School. Event volunteers will also be issued passes to the Red Lot. Off-site parking will be available at Carroll Senior High School, Dawson Middle School/Eubanks Intermediate School and at Gateway Church with shuttle bus service every half hour to and from CHS. Shuttles will begin at 5 p.m. and continue Friday night until midnight. A final shuttle bus will serve participants at 7 a.m. on Saturday morning.

Shuttle Bus & Remote Parking Information
Parking spaces on the Carroll High School and Durham Elementary/Intermediate School campuses are reserved for permit holders only. Free shuttle bus service will be provided throughout the evening. Shuttles will begin picking up riders from remote parking lots at 5:00 p.m. and continue making their routes until midnight Friday night. A final shuttle bus route will be run at 7 a.m. Saturday morning for those who have spent the night at Carroll High School. Remote parking is being provided in three locations throughout Southlake: Dawson Middle School/Eubanks Intermediate School (front center load zone); Gateway Church; and Carroll Senior High School (back, east lot load zone). Park and lock your vehicle and wait for the next shuttle bus near the green shuttle bus load zone sign. Shuttles will run back and forth to the Carroll High School site up until midnight so come out and enjoy the evening at CHS.
Activity Booths, Games, Food & Entertainment
There will be games, face painting, photo booths, delicious food, and other activities for all members of the family at Relay For Life. The fun begins at 5:30 p.m. at Carroll High School. Bring money to have some fun and don’t miss out on some of the outstanding entertainers featured on our center stage at Relay. All proceeds go to support the overall American Cancer Society fundraiser. Stay tuned to this website for updates on entertainment times and schedules.
Silent Auction Hours 5:30-11:30 pm
Relay For Life will include a silent auction from 5:30 p.m. until 11:30 p.m. Visit the tent inside the track to bid on items during the night. Donations for the Silent Auction are still being accepted and may be brought to Bank Day on May 7. Any money raised from an item/service auction donation will be credited to the donor’s account or any team you wish. Luminaria Bags To Be Sold On Site
We need 5,000 luminaria bags to circle the track for our inspirational 10 p.m. ceremony. Bring a bag you have purchased beforehand or come decorate a bag on-site in honor or memory of friends and family members who have suffered from cancer. You’ll want to participate in this inspiring ceremony led by cancer survivor and bagpiper Larry Fowler.
Bags are $10 with all donations going to the American Cancer Society. The sale of luminaria bags count toward your team fundraising goals. For more information about the Luminaria sales and/or the ceremony, email Pam Francis at firstname.lastname@example.org
Bags of Ice Available On Site!
Beginning at 10 a.m. on the day of the Relay For Life event, bags of ice will be available for sale on site. A 35-pound bag of ice will cost just $5 each.
Canned Food Drive At CISD Schools
Canned goods may be brought to Carroll ISD campuses as donations for Relay For Life, too. The cans help weight down the luminaria bags for the 10 p.m. ceremony at Carroll High School May 11. Students and staff can collect cans and turn them in to their school office the week of Relay. The cans will be donated to a local food pantry after the event ends.
Keep These Important Rules In Mind
- Only registered team members with parental permission forms on file will be allowed to stay on-site past midnight (event bracelets necessary)
- No pets on site
- No alcohol or tobacco on site
- No tents – Only canopies permitted
- No campfires on school property
- No personal golf carts/four or three wheelers on site (committee/event planning team only)
Relay For Life, Southlake Rain Plan
Every effort will be made to host the event outdoors, all-night (5:30 p.m. May 11 to 7 a.m. May 12) as planned. However, safety is a top priority. Carroll school officials and local law enforcement will be consulting regularly with weather experts throughout the morning Friday to obtain the most accurate, up-to-date forecast. Unless you are notified differently from an official communication from Carroll ISD, assume the Rachel’s Rally/Relay For Life event will occur as scheduled and as planned outdoors at CHS.
As a general rule, the event will not be canceled and it will not be rescheduled (Exception: the event could be canceled if an eminent danger exists from high winds, flooding or tornado-related activity)
IF the rain or storms prevent an outdoor, all-night event, the following Rain Plan will be used: Indoor Modified 6-Hour Event (contingency plan only) 6 p.m. Rachel’s Rally; 7 p.m. Relay For Life Opening Ceremonies in Carroll High School Gymnasium . Activity booths in the cafeteria and auxiliary gym. Survivors will then move to student commons area for dinner. VIP reception will be held simultaneously in that same area. Cafeteria and auxiliary gym areas will be utilized for games, food, face painting and any entertainers who show up. Silent auction will move to Carroll High School library. 10 p.m. Luminaria and 11 p.m. Fight Back Ceremony in the CHS Gymnasium. Indoor Event will end at midnight. Shuttles WILL run for the 6-Midnight indoor event beginning at 5 p.m. as planned. Parking passes/permits will still be enforced on the CHS site as necessary. Event planners reserve the right to lift permit parking restrictions as the evening progresses.
Relay For Life Southlake/ Rachel’s Rally Rain Plan:
Carroll ISD, the American Cancer Society and the Relay For Life Southlake Planning Committee Volunteers have developed a RELAY RAIN PLAN should weather force organizers to move the entire May 11 event inside Carroll High School.
Organizers will watch the weather carefully and make decisions based on the forecast, the severity of the weather and all other related factors. Organizers will make an announcement as soon as possible to set up for an indoor event, but the overall goal is to have the outside, all-night event. Rain showers throughout the day will not cancel the event or move it in doors necessarily. Storms, wind and lightning would be a different matter all together.
In the event organizers enact the RELAY RAIN PLAN, the event will still begin at 5:30 p.m. as planned, but will end at midnight.
Shuttle buses will run and parking lot permit parking will be enforced as volunteers are able.
Set up inside CHS will be in the following manner:
- Commons Area – VIP Reception/Survivors’ Dinner
- Cafeteria – Food Vendors, Some Designated Game Booths, Information Booths or Sponsors, City (second) Stage Performers
- G Hall (between cafeteria and gym) – Silent Auction
- Small Gym – Activity Games/Booths
- Main Gym – Main Stage, Rachel’s Rally, Relay Opening Ceremonies, Band Performances, Luminaria, Fight Back Ceremony and Closing Awards
- Attendance Office Window – Relay Bank
Organizers will be in close contact with Southlake DPS and monitor all weather stations for safety precautions.
